It is crucial for organisations to have a team in the background who provides continuous support and advice. That is what we do.

Our top priority is to meet people and business needs, by listening to our clients, responding to their contacts in a timely and helpful manner and providing fast and efficient support.

WHO WE ARE

Business Support is one of Celfocus’ Functional Areas.

We started approximately four years ago with the purpose of addressing administrative, logistic and operational processes that were being handled by each Business Unit. As we all know, these type of activities are incredibly time-consuming and when we are running a business, time is a valuable resource! Our priorities were to centralise those tasks in the Business Support team and organise dispersed information, create processes and implement procedures, help people overcome day-to-day difficulties. We were a team of 2 at that time.

As the organisation grew, our team inevitably expanded in size. Today we are 9 people, ready to support the business wherever it goes, in whatever it needs.

HOW WE ARE ORGANIZED

The Business Support team is diverse in scope – ranging from physical & logical access needs and facilities management to internal admission and exit procedures; as well as outsourcing & procurement and new operations set-up.

We are geographically distributed across Celfocus’ offices, with team members in Lisbon, Oporto, Newbury, London, Istanbul and Dubai, ensuring that people have the best working conditions - wherever they are.

OUR MISSION AND STRATEGY

Business Support’s mission is to provide high quality support across business operations.

We deliver solutions that result in cost savings and resource optimization and provide efficient support to reduce the complexities of internal operations.

Whether it is workspace allocation, office management, outsourcing needs, company policies, we can take care of it, giving our clients more time to focus on the business, the peace of mind that we are keeping an eye on important processes and help and support whenever needed.

We accomplish our mission by being focused on what we do to maximize our client’s satisfaction, continuously review and improve work methods, policies and procedures and eliminate practices that are no longer necessary to the business.

Our strategy relies on team values such as proactivity, integrity and respect, which dictate involvement, alignment and behaviour.

THINGS WE’VE DONE

Here is a snapshot of some of our achievements:

  • Opening of new offices in Istanbul, Oporto, London and Newbury
  • Deploy Celfocus’ image in our offices in Lisbon (VFPT), Oporto, Dubai, UK and Turkey
  • Almost 30 meeting rooms across all Celfocus’ offices equipped with Videoconference solution and everyone in Celfocus has a personal Virtual Meeting Room
  • Implemented Emergency Readiness Plan (sets out the best way to evaluate the different geographies where Celfocus operates and specifies procedures for handling sudden or unexpected emergency situations)
  • Implemented Outsourcing & Integrated Procurement Process
  • Onboarding Process
  • Created internal procedures for Access Management & Tools allocation
  • Implemented Celfocus User Management application

We keep our eye on the future, finding ways to provide a more proactive and effective support, promoting synergies with other areas and investing on solid and reliable relationships with our clients, colleagues, and partners.

Ana Cristina Nascimento

Role / Mission

Outsourcing management – helping BUs fulfil their outsourcing needs and maintain an interesting and competitive pool of companies that can help us with our projects.

What requires a greater portion of discipline in your work?

Keeping track of what’s pending from other people, to make sure the task is completed (even when completion does not depend on me, I must ensure it is successfully resolved).

What requires a greater portion of creativity in your work?

Finding ways to communicate with different people, and making sure that the message gets through and resonates with their way of thinking and perspective.

Céu Jesus

Role/mission

‘Hybrid’ position: travel department + Celfocus Turkey office management and soon Dublin’s business support person.

What in your job requires the largest amount of discipline?

Well… I know it’s not part of the job, but being in Istanbul is very bad for your diet, it’s difficult not to gain some extra kilos… as part of the job, being able to attend to all requests from our team here in Istanbul;

What in your job requires the largest amount of creativity?

How do you say “no” to impossible requests? You have to be creative.

Daniela Casimiro

Role/mission

User Management & Tools allocation.

What in your job requires the largest amount of discipline?

Oversee the smooth flowing of logistic and administrative work of HR internal procedures such as admissions, exits and transfers.

What in your job requires the largest amount of creativity?

Think more creatively in the management of User Management application project. I have to be creative in order to define project requirements, identify risks, think about what kinds of benefits we are likely to achieve and resolve issues.

David Costa

Role / Mission

Facilities management - making sure our colleagues have the best working conditions in all our offices.

What requires a greater portion of discipline in your work?

Budget analysis and cost control as well as other work with contractors.

What requires a greater portion of creativity in your work?

New office set up and seat allocation. Finding where and how to seat our project team is many times similar to playing a game of Tetris.

Diana Moreira

Role/mission

Business Support Oporto- Increase customer satisfaction levels by creating and implementing new processes.

What in your job requires the largest amount of discipline?

The diverse type of requests coming from our colleagues in Oporto.

What in your job requires the largest amount of creativity?

Event planning and analysis possible protocols to benefit our colleagues.

Diogo Carvalho

I just recently joined the Business Support team with responsibilities across all Business Support functions.

I have over seven years of experience working in administrative and operational support areas with Advance Care and Portugal Telecom.

Role/mission

Business Support Turkey.

What in your job requires the largest amount of discipline?

Time Management: I always have 5 or more different types of works in hand at the same time. I always need to determine the priority order, who/what needs more help! Can this issue wait 5 minutes or not? Is my daily question.

What in your job requires the largest amount of creativity?

Think like the Portuguese and creating a good working environment.

Maribel Perez

Role/mission

Business Support Dubai / My role/mission involves taking care of anything and everything that Middle East office requires.

What in your job requires the largest amount of discipline?

It takes a big dose of discipline to go about the day to day, seemingly monotonous and mundane tasks that I have to keep feeling motivated in doing and meeting deadlines without much supervision.

What in your job requires the largest amount of creativity?

Dealing with clients, other entities and authorities here in Dubai requires a great deal of patience. Dealing with a multi-cultural environment like Dubai, one has to be more friendly and creative in communicating with others, in order to get the required information or approval without taking a lot of time. Knowing when to use a firm push or a friendly nudge when dealing with different people of various nationalities is both exciting and challenging.

Defining objectives that will help keep me motivated in the long run.

What in your job requires the largest amount of creativity?

The need to handle diverse types of requests from our colleagues in Oporto.

Susana Aleixo

Role / Mission

Business Support team leader - Provide direction, instructions and guidance to the team toward its mission.

What requires a greater portion of discipline in your work?

As team leader, I try to lead people in the right direction and help them be the best they can be, so, discipline also consists of giving guidance, show continued interest and respect boundaries. In addition, discipline leads to a structured and organized team that is able to offer results and reliability, and this is an important driver to build healthy relationships. The outcome is our customer satisfaction.

What requires a greater portion of creativity in your work?

Creativity is a valuable tool that needs to be worked, especially in this time of technological changes, cultural adjustments and business competition. It is important to be open to change, accept challenges, try hard to change mental models and ask relevant questions such as “how can we improve?”, “why shouldn’t we go that way?”, “what can we do differently?”

One of the major challenges in my work is using creativity in problem anticipation and finding better solutions, create new processes and work methodologies that add value to the area and organisation.
